The General Data Protection Regulation (GDPR) is a regulation by which the European Parliament, the Council of the European Union, and the European Commission intend to strengthen and unify data protection for all individuals within the European Union (EU). It also addresses the export of personal data outside the EU.

 

The GDPR aims primarily to give control back to citizens and residents over their personal data and to simplify the regulatory environment for international business by unifying the regulation within the EU.

 

It becomes enforceable from 25 May 2018.

 


 

It is to the best of Boyum IT Solutions A/S ability that CRM For Outlook (CRMFO) adhere to privacy by design as the add-on do not store any personal data beyond the SAP Business One database itself but below are references to how CRMFO handles its data.

 

General

All configured data are stored in the SAP Business One database itself and will not leave the customer's system. It is the people responsible for the SAP Business One environment who are responsible for this data.

 

We have a few features/modules that communicate with online services and these are listed below but none of these contain personal information.

 

License System

Our online license check will at the start-up of the add-in communicate with https://portal.boyum-it.com. During this call, we send the following information in order to verify you have a valid license:

CRMFO API Key

Email Address

 

Feedback System

The add-in has an optional Feedback system that on add-in shutdown and in case of errors send anonymous data to Boyum's internal Feedback servers. It sends the following data to us:

API Key

CRMFO Version

Outlook Version

.NET Version

OS Version

SAP Username

SAP Database name

Stats for each module (number of configurations etc. - nothing customer specific)

If System is MSSQL or HANA

 

You choose on initial install if you want to participate or not and can at any time turn it off. If you wish to be deleted from already collected data please send request to support@boyum-it.com

Azure Cloud Component

CRMFO have a cloud component that handles communication between the CRMFO Server component located on the SAP Server and the Outlook Client add-in on the users' machines. This cloud component is purely a communication component and will never store any data. All data sent through the component is end to end encrypted and sent via HTTPS.

 

Tables in SAP

CRMFO has two tables in the SAP Business One databases:

Table [@BOY_F3_TRACK] that store email trackings if that feature is used. Personal data is email as well as the subject and body of the tracked email.

Table [@BOY_F3_USERMAP] that map Username with Employee Id and Sales Employee Id. There is no personal data in this table.

 

MailChimp Integration (Optional)

If used with the B1 MailChimp module in B1 Usability Package, this module communicates with https://mailchimp.com via MailChimp's API. The customer decides what information is sent but first name/last name is the default. Attachments Integration (Optional)

CRMFO has an optional feature that allows users to move email attachments and other files from client to server. This is done by integration with 3rd party storage provider APIs.
